1. Who we are

Trade Butler is developed and operated as a sole trader business based in England, UK. For questions about this policy, contact us at admin@yourtradingbutler.com.

This policy applies to personal data collected in connection with the Trade Butler private beta programme and website at yourtradingbutler.com.

2. What data we collect and why

When you request beta access:

• Your name and email address — provided by you when emailing to request a licence key. Used to identify you as a beta participant and to send your activation key. We may also use this to contact you about the beta programme.
• Your Machine ID — a hardware identifier generated by Trade Butler on your machine and sent to us by you. Used solely to issue and validate your activation key. It does not identify you personally and cannot be used to access your machine or data.

When you use the Software:

• Trade Butler stores all trade data, journal entries, playbook criteria, screenshots, session plans, and settings locally on your machine only. This data never leaves your machine and we have no access to it whatsoever.
• Trade Butler does not transmit any trading or journal data to us or any third party.
• Trade Butler does not use analytics, tracking scripts, or third-party data services of any kind.

When you visit our website:

• Our website is hosted on IONOS. Basic server logs (IP address, browser type, page visited, timestamp) may be retained by IONOS as part of standard hosting infrastructure. We do not use cookies, tracking pixels, or analytics tools on this site.

3. Legal basis for processing (GDPR)

We process your personal data under the following lawful bases:

• Contract performance — processing your name, email, and Machine ID is necessary to fulfil your beta access request and issue your licence key.
• Legitimate interests — we may contact you during the beta period to gather feedback, notify you of updates, or communicate about the product. You can opt out of these communications at any time by emailing us.

4. How long we keep your data

• Your name, email address, and Machine ID will be retained for the duration of the beta programme and for a reasonable period afterwards to manage licence validity.
• If you ask us to delete your data, we will do so promptly — subject only to any legal obligation to retain it.
• Server logs held by IONOS are subject to IONOS’s own retention policy.

5. Who we share your data with

We do not sell, rent, or share your personal data with any third party for marketing or commercial purposes.

The only external parties involved are:

• IONOS — our hosting provider, who may process server log data as described above. IONOS is based in Germany and operates under GDPR.
• We do not use any email marketing platforms, CRM systems, or analytics services.

6. Your rights

Under UK GDPR you have the right to:

• Access the personal data we hold about you
• Correct inaccurate personal data
• Erase your personal data (“right to be forgotten”)
• Restrict or object to our processing of your data
• Portability — receive your data in a structured, machine-readable format
• Withdraw consent at any time where processing is based on consent

To exercise any of these rights, email admin@yourtradingbutler.com. We will respond within 30 days.

You also have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO) at ico.org.uk if you believe we have not handled your data correctly.

7. Data security

We take reasonable steps to protect the personal data we hold. Email communications containing Machine IDs and licence keys are handled carefully and not shared beyond what is necessary to fulfil your request.

As noted above, your trading data never leaves your machine — there is no cloud storage, no server-side database, and no transmission of journal or trade data.

8. Children

Trade Butler is intended for adults. We do not knowingly collect personal data from anyone under the age of 18. If you believe a minor has provided us with personal data, please contact us and we will delete it promptly.

9. Changes to this policy

We may update this Privacy Policy from time to time. We will notify beta users of material changes by email. The “last updated” date at the top of this page reflects the most recent revision.
